Role Summary

The Meetings & Events Specialist is responsible for the day-to-day oversight and coordination of all meeting and event operations. This includes maintaining a strong working relationship with all departments as needed to ensure Travel, Meetings & Events is aligned with all policies and procedures that may impact the department and also for developing processes and tools for meeting owners relating to meeting policy, process and technology; and

Process and policy compliance.

Role Responsibilities

Meetings & Events

* Develop and execute a large volume of Company meetings and events annually including, but not limited to, NSC, NAR and VWAG

* Develop and implement processes and procedures in cooperation with Purchasing, Finance, Accounting and/or Internal Audit that will continue to support the consolidation of the Company's meeting spend

* Within VWGoA guidelines, provide guidance and ongoing support to NAR and VWAG business owners as requested.

* Optimize the effectiveness of Agency and Freelance meeting planning staff through review and analysis of workloads. Review SAFs and assign meetings/events to Agency and Freelance meeting planners based on timing and capacity.

* Agency liaison for meetings and events operations including oversight of the agency meeting planning team

* Coordination and oversight of freelance meeting planners and travel directors

* Process compliance

* Audit of all meetings and event files

* Analysis of post-meeting survey data

* Develop and conduct (in cooperation with Agency's Meetings/Events Supervisor) any necessary training for agency staff and/or Company employees

Supplier Management

* Develop, monitor and manage all meeting-related supplier contracts, always looking for ways to enhance or improve processes and procedures

Processes, Reporting/Data and Technology

* Ensure TME and Purchasing are aligned; drive process improvements

* Continually review and streamline meeting/event processes to ensure they meet the needs of the business

* Assist with development of Key Performance Indicators related to meetings and events

Industry Relations

* Maintain a solid and visible relationship with all hotel chain National Sales Offices (NSOs)

* Keep proactively abreast of meeting industry news, innovations, trends and best practices

* Transfer knowledge and best practices to VWGoA's meeting program.

Years of experience

* 7 years planning corporate meetings and events

* 4 years meeting and event process development and strategic meeting management and experience with supervising teams

Education - Required

* Bachelor's Degree

Qualifications - Required

* Excellent ability to multi-task with strong prioritization skills, addressing critical day-to-day issues without losing focus on department priorities

* Effective communication ? interpersonal, relationship management, presentation, and written

* Experience managing external travel industry partners.

* Work across the layers of the organization and across cultural boundaries

* Highly proficient organizational and time management skills
